Call Out for a Freelance Creative Event Producer

Create Gloucestershire, Connected by Data & Active Gloucestershire are planning a one day event for anyone working in communities across Gloucestershire to:

  • Build confidence in understanding and working with data: exploring language, skills and approaches that take the fear out of stats and spreadsheets;

  • Create connections between individuals, organisations with data to share and those with data needs,

  • Generate ideas together for how data could work better for all;

  • Get critical about the power of data, and how to put communities in control;

  • Take a creative approach to engaging with data collection and use - moving beyond spreadsheets and stats, from storage to storytelling

We are seeking a Freelance Creative Event Producer to work with a small steering group from December 2022 to create the event delivery plan, & then oversee the delivery of the Unconference in April 2023 for around 100 participants.  There is potential of live streaming some content for those that can’t attend in person (tbc). 

There is a fee of £3,000 available for this work, inclusive of travel, expenses and VAT.  We anticipate the event budget will be in the region of £5,000 - £6,000, in addition to this.


What are the aims of the Data Unconference?

Unconferences are created by their participants, not just by the organisers.  Through an open space section of the event, participants will be able to access and shape the agenda on the day.  

The event is intended to attract a wide range of contributors and participants, to encompass:

  • Different sectors: arts & culture, community, voluntary, private & public sector

  • Diverse perspectives about data and its use

  • People who work through a place based lens, in Gloucestershire

  • People who are both data confident, and those who are not

It is essential that physical & psychological access, and a warm welcome is placed at the heart of the event planning and delivery so that anyone who wishes to contribute and/or attend, can.

The day will incorporate three types of sessions:

Inspiration: lightning talks and creative data workshops: turning data storage into data storytelling

Sharing and connecting: open space sessions for conversations to share learning, raise questions, see new potential

Data Basics: 1-2-1 surgery sessions to gain confidence in devices and data security practice

The goal of the day would be to foster our 5C’s of Data:

  • Confidence

  • Connection

  • Critique

  • Creativity

  • Community Control

We want participants & contributors to experience creative, practical and critical conversations around data, and to identify a community of individuals and organisations interested in future collaboration on effective civil society data governance and use at a county-wide level. 

The Brief

We are seeking an experienced Creative Event Producer able to work with us on the lead up to, and the delivery of, the Unconference in April 2023 (exact date tbc).

The Producer’s main tasks are:

  • Work with the steering group to hone their ideas and curatorial oversight into a workable, costed plan.

  • Help to seek event sponsorship, including support from both public and private sector contributors.

  • Be the first point of contact for steering group, contributors, participants and sponsors

  • Attend the first communications/messaging meeting on the 15th December, 10am - 12noon

  • Manage accessible & inclusive communications and marketing activity, working with support from colleagues from each of the partner organisations to achieve reach across different target audiences/sectors

  • Schedule and attend event planning meetings, both on Zoom and in person, drawing in relevant partners and colleagues as necessary.  

  • Plan and manage event logistics including: programming, venue hire and set up, equipment, refreshments, signage, registration, etc ensuring access is considered at every step 

  • Manage event bookings and access bursaries

  • Carry out the risk assessment and oversee mitigation measures 

  • Create an evaluation framework, and manage the collection and analysis of evaluation data to inform activity beyond the event itself

  • Manage the event budget, in liaison with Create Gloucestershire’s Company Manager

The Service Agreement for this role will be with Create Gloucestershire, who will provide event governance/procedural support and a first point of contact for the Producer.  The three partner organisations will provide additional resources in the form of marketing activity, access strategy support, administrative back up, online platform access (e.g. Eventbrite).

Essential 

You will:

  • Know how to create and implement an event plan as a result of your experience of producing event(s) of this size

  • Be comfortable with complexity, and be a calm, creative problem solver

  • Understand the barriers that might prevent someone contributing to or attending an event like this, and have experience of implementing effective access and inclusion strategies

  • Know how to manage a project budget

  • Be a confident communicator

  • Be able to work remotely.  Create Gloucestershire does not have an office base.

Why are we organising this event?

For the last few years Create Gloucestershire have been exploring what it means for community-focussed arts organisations to engage with data. We know data is important in our work, but talk about data often feels distant, scary, or disempowering. We’ve been exploring creative ways to build data skills, and to make data work for the creative community in Gloucestershire.

Connected by Data is a new campaign to give communities a powerful say in decisions about data to create a just, equitable and sustainable world. We’re excited by the opportunity to join conversations about how data works at the grassroots in Gloucestershire, and make connections with national and global conversations on new approaches to data governance.

Active Gloucestershire’s aim is to inspire, connect and enable individuals, communities and organisations across Gloucestershire to help the least active, move more. We use this same approach when it comes to working with data; learning from those ahead of us and sharing our journey so others don’t feel alone in wondering what to do about data. This has helped us develop how we use data for good, making it more accessible and a less scary topic.
