Finance and Governance Support Role

Voices Gloucester (VG) provides funding, mentoring and creative expertise, offering a platform for local people to amplify their voices by exploring, celebrating and sharing their heritage stories. Over the last 3 years we have delivered 58 community projects and over 120 events, mostly led by under-represented groups, in addition to several growth projects that include multiple partners.

Voices Gloucester Board wishes to appoint a freelancer to support our Board and oversee financial reporting for Voices Gloucester to:

  • Manage arrangements for the successful operation of the Board- coordinating papers, scheduling meetings and minute taking.

  • Liaise with Chair and Director to ensure agenda and meeting papers are sent a week before the meeting and minutes are sent out within a week, with Action Points clearly captured.

  • Create a Dashboard for the overall management of Voices Gloucester finance, ensuring ease of extracting data for reporting to Board and Funders

  • Work with the Treasurer to agree the budget, manage the income stream and the Operations Manager’s administration of the Charity’s financial transactions

  • Oversee preparation of accounts and all financial reporting to Charity Commission, including organising and overseeing annual audit

  • Ensure that all policies, procedures and training for the Board are kept up to date and reviewed annually

  • Ensure that the Conflict of Interest and Risk Registers are kept up to date

Experience, skills and knowledge Essential ● Organised and methodical approach to tasks with track record of meeting deadlines ● Experience of minute taking ● Experience of data collection and reporting ● Excellent financial monitoring and procedures skills ● Track record of budget monitoring and financial prudence ● Experience of supporting a Board in the discharge of its legal obligation

Desirable ● Knowledge of Gloucester and its communities ● Experience of supporting a National Lottery funded project or similar ● Experience of supporting a charity ● Experience of promoting good environmental practice

Delivery of the Contract Contractor agreement: This contract is offered on a freelance basis and the successful person will be responsible for their own NI and tax owed. It is expected that this role will be suitable for someone to deliver from their own premises. Hours: The work is likely to take in the region of 1 day a week overall, with attendance at Board meetings in Gloucester every other month.

Timetable: We anticipate appointing a freelancer in August 2025 for 18 months

5. Fees": There is a maximum budget allocation of £18,000 for this work, including all travel and expenses. Please submit your fee proposals including expenses, subsistence and VAT, as part of your tender. The role will be remunerated on receipt of an invoice at agreed intervals/milestones.
